Activating Your Licence

AI funding and usage

AI included uses REDA credits. Bring your own AI uses your organisation’s provider account, billed directly by that provider. The licence selects one funding model for the organisation. In either model, REDA AI governs configured tools and actions in Salesforce. Set up your licence and AI accounts.

For current plans, prices, evaluation terms and top-up options, see REDA AI pricing. Plan examples and usage figures in this guide explain operation; they are not a commercial quotation.

Getting REDA AI up and running is quick and straightforward. This article walks you through the step-by-step process of installing the package, activating your licence, and getting your first agent ready. Follow these steps to start using REDA AI in your organization.

Prerequisites

Before you begin, make sure you have:

  • A Salesforce org (sandbox or production)
  • System Administrator access to install packages and assign permission sets
  • Your REDA AI licence key (received via email from REDA AI sales team)
  • Access to your Salesforce email account to receive activation confirmations
Important: You have separate licence keys for sandbox and production. Keep track of which key goes where — activating the wrong key in the wrong environment will cause activation to fail.

Step 1: Install the REDA AI Package

Option A: From AppExchange (Recommended)

  1. Log into Salesforce — Open your Salesforce org and log in as a System Administrator.
  2. Navigate to AppExchange — Go to https://appexchange.salesforce.com and search for "REDA AI".
  3. Click "Get It Now" — On the REDA AI app tile, click the "Get It Now" button.
  4. Select your org — Choose the Salesforce org where you want to install REDA AI (sandbox or production).
  5. Accept terms and install — Read and accept REDA AI's terms of service, then click "Install" to begin the installation.
  6. Wait for installation to complete — REDA AI is a managed package. Installation typically takes 5–15 minutes. You'll receive a confirmation email when it's done.

Option B: Direct Installation Link

REDA AI may provide you with a direct installation URL. Simply open the URL in your Salesforce org and follow the prompts to install.

Step 2: Verify Installation

After installation completes:

  1. Open the App Launcher — Click the App Launcher icon (grid) in the top-left corner of Salesforce.
  2. Search for REDA AI — Type "REDA AI" in the search box.
  3. Click REDA AI — The REDA AI app opens. If it opens successfully, installation is complete. If you see an error, troubleshoot (see Common Issues section below).

If REDA AI does not appear, click View All in the App Launcher rather than relying on the short list — the launcher shows only a handful of apps before you search, and a newly installed app is frequently not among them. If it is still missing after View All, the app is not visible to your profile: assign a REDA AI permission set (see App Access & Permissions).

Step 3: Assign Permission Sets

Before your users can access REDA AI, you must assign the appropriate Salesforce permission sets. REDA AI includes two main permission sets:

REDA AI Admin Permission Set

For administrators who configure agents, manage tools, and monitor usage:

  1. Open Salesforce Setup — Click the Settings gear icon and select Setup.
  2. Navigate to Permission Sets — In the Quick Find box, type "Permission Sets" and click the result.
  3. Find the REDA AI Admin permission set — Scroll or search for it in the permission sets list.
  4. Click "Manage Assignments" — On the REDA AI Admin permission set, click the "Manage Assignments" button.
  5. Add admin users — Click "Add Assignments" and select the users who should be REDA AI admins (typically 1–2 trusted administrators). Click "Assign".

REDA AI User Permission Set

For regular users who chat with agents but cannot configure them:

  1. In Setup, navigate to Permission Sets — Same as above.
  2. Find the REDA AI User permission set — Search for it in the permission sets list.
  3. Click "Manage Assignments" — On the REDA AI User permission set, click the "Manage Assignments" button.
  4. Add user users — Click "Add Assignments" and select all users who should have access to REDA AI. Click "Assign".
Tip: You can assign both permission sets to an admin user if needed. Admin users typically get both the REDA AI Admin and REDA AI User permission sets so they can test agents as a regular user would.

Step 4: Activate Your Licence Key

Open App Launcher → REDA AI → REDA AI Admin → License & Credits. Paste the REDA-issued licence key and select Activate Key, then review Plan Details and the active funding model. With Bring your own AI, first create and test an active organisation default in AI Connections and ensure active agents have a valid connection and model. Follow the complete setup guide.

Activate Free Tier starts the AI-included evaluation. Contact REDA for a Bring your own AI evaluation key; provider charges still apply. See current evaluation terms.

Step 5: Create Your First Agent (Optional)

With your licence activated, you can now create agents. Here's a quick start:

  1. Click the "Agents" tab — In the REDA AI app, click on the Agents tab.
  2. Click "New" — Create a new Agent Definition.
  3. Enter a name and description — Give your agent a clear name (e.g., "Customer Support Bot") and describe its purpose.
  4. Enter a system prompt — This instructs the AI how to behave. Example: "You are a helpful customer support assistant. Answer questions about our products and services."
  5. Configure channels — Choose where the agent will be available (e.g., Slack, Teams, External Widget).
  6. Save the agent — Click Save. The agent is created but disabled by default.
  7. Activate the agent — Click the "Activate" button to enable the agent. Users can now interact with it.

Before deploying REDA AI to production users, test it thoroughly in your sandbox environment:

  • Create test agents: Create simple test agents with basic system prompts to verify functionality.
  • Test all channels: If using multiple channels (Slack, Teams, web), test each one.
  • Monitor incident logs: Check the AI Incident Logs to ensure no errors occur.
  • Review credit usage: Get a sense of how many credits typical conversations consume.
  • Gather feedback: Have sandbox users test agents and provide feedback on response quality.

Once satisfied, repeat the same steps in your production org using your production licence key.

Next Steps After Activation

  • Configure Tools: Set up tools (Salesforce object queries, external APIs) that your agents will use. See Understanding Tools for details.
  • Define Context Fields: Create context fields that provide agents with relevant user/account data. See Understanding Context Fields for details.
  • Configure Channels: Set up the channels where your agents will be deployed (Slack, Teams, etc.). See Internal Channel for details.
  • Set Up Scheduled Actions: Configure actions that agents can trigger, such as creating Salesforce records or sending emails. See Scheduled Actions for details.
  • Monitor Usage: Check the Admin tab regularly to monitor credit consumption and ensure you're on track. Top up if needed.

Troubleshooting Activation Issues

Error: "Invalid Licence Key"

Possible causes:

  • The key is expired (check the email from REDA AI for the expiration date)
  • The key is for a different environment (sandbox vs. production) — make sure you're using the correct key for your org type
  • The key has extra spaces or was mistyped — copy and paste carefully
  • The licence key has already been activated in another org

Resolution: Verify the key is correct for your environment. If you're still unsure, contact REDA AI Support with your org ID and licence details.

Error: "Network Error" or "Unable to Validate"

Possible causes:

  • Your Salesforce org cannot reach REDA AI's activation servers (firewall/network blockage)
  • REDA AI's activation service is temporarily unavailable
  • Your internet connection is unstable

Resolution: Check your network connectivity and try again. If the issue persists, wait a few minutes and retry. If still failing, contact your Salesforce administrator or REDA AI Support.

Error: "Permission Denied" or "Admin Tab Not Visible"

Possible cause: You don't have the REDA AI Admin permission set assigned. The Admin tab is only visible to users with this permission set.

Resolution: Have a System Administrator assign the REDA AI Admin permission set to your user account. Then, log out and log back in for the change to take effect.

Error: "Package Installation Failed"

Possible causes:

  • Your org doesn't meet the minimum Salesforce version requirements
  • A conflicting package or customization is installed
  • You don't have System Administrator permissions

Resolution: Contact REDA AI Support with your org's details (edition, Salesforce version, installed packages) for assistance.

Frequently Asked Questions

Installation of the REDA AI package typically takes 5–15 minutes from AppExchange. Licence key activation is usually instant (5–30 seconds) once you submit the key, assuming the key is valid and your org can reach REDA AI's servers. If activation is taking longer than a few minutes, check your network connectivity or contact REDA AI Support.

Yes, and we recommend it. Install and activate REDA AI in your sandbox org first using your sandbox licence key. Test agents, channels, and tools to ensure everything works as expected. Once satisfied, install and activate in production using your production licence key.

If you've activated the wrong key, contact REDA AI Support immediately. Provide your org ID and the key that was activated. REDA AI can deactivate the wrong key and help you activate the correct one. Do not try to manually deactivate or remove the activated key — contact support instead.

Yes. REDA AI requires internet connectivity to your Salesforce org at all times. The AI service is cloud-hosted and communicates with your org via HTTPS. If your org is behind a firewall, ensure that outbound HTTPS traffic to REDA AI's servers (*.redaai.com) is allowed. During activation specifically, your org must reach our activation service to validate your licence key.
