Revoke a payment link
A payment link stays open until it is paid, it expires, or someone revokes it. Closing the review dialog or pressing Cancel after the link was created does not withdraw it: the Pay Order was saved the moment the summary opened, and its link is live. When a link was sent in error, carries the wrong amount, or the customer paid another way, revoke it. The same action stops a scheduled payment for good.
Revoke the order
- Open the REDA Pay app → Pay Orders → the order (or find it under the customer's Pay Orders list). Check Status reads Link - Active.
- Click Revoke Order.
- Enter Revoked Notes — why the link is withdrawn; this is kept on the order — and click Next, then Finish.
- The order now shows Revoked ticked, Status Revoked and Has Active Link unticked.
Revoking asks for a note and nothing else. The link is dead as soon as the flow finishes.
If the order was already paid or already revoked, the flow stops with "Pay Order is either already revoked or processed." and changes nothing.
What happens afterwards
| Where | Effect |
|---|---|
| The customer's link | Opening it no longer shows the payment screen, only an "Invalid request" message |
| The Pay Order | Locked as revoked; it cannot be processed by any route, including Process Pay Order |
| Reports | The order stays, with Revoked ticked and your note, so revoked links can be counted |
| Payload | Nothing was ever sent for an unpaid link, so nothing changes there |
A revoked order cannot be reopened. To collect the payment after all, create a new link.
Revoking a scheduled payment
Revoke Order works on any unprocessed order. On a Schedule order it stops the schedule permanently: Schedule Active turns off and the daily job ignores it. Payments already made from the schedule are unaffected. See Set up a recurring payment for pausing instead of stopping.
Why not delete the order?
Deleting removes the audit trail, and REDA Pay refuses to delete processed orders. Revoking keeps the record, the customer notes and the reason, which is what finance and support will ask for later. Reserve deletion for test orders that were never sent to anyone.
When to revoke, and when not to
| Situation | Revoke? | Do this |
|---|---|---|
| Wrong amount or wrong customer notes | Yes | Revoke, create a new link, send it. The amount and notes of a link cannot be edited |
| The customer paid another way (cash, cheque, a card over the phone) | Yes | Revoke so nobody pays twice; note how it was paid |
| The customer says the link "does not open" | No | Nothing is wrong with the order. Check the message they see — see Payment link troubleshooting — and resend the exact Link URL |
| The customer already paid through the link | No — it is too late | The link is dead; refund from the Pay Transaction if the payment should not stand — see Void or refund a payment |
| You need to extend the deadline | No | A link cannot be extended; let it expire or revoke it, then create a new one |
| A test link in a sandbox or on a demo customer | Yes | Revoke rather than delete, so the test leaves a trail |
Worked example
A leasing agent sends an applicant a $500 holding-deposit link, then learns the deposit for that unit is $450.
- The agent opens Pay Order P-051851 (Status Link - Active), clicks Revoke Order, types "Wrong amount — replaced by P-051852" and finishes. The order shows Revoked ticked and Status Revoked.
- From the applicant's Lead, the agent presses Receive Payment, types
450, clicks Create Link, writes the notes and processes. P-051852 is Link - Active. - The agent emails the new Link URL and tells the applicant the first email can be ignored.
- The applicant opens the old email anyway: the page shows "Invalid request: Bad request Parameters." and no payment screen. They open the new link and pay $450.
Both orders stay on the applicant's Pay Orders list: one revoked with a note, one processed — exactly what a colleague needs to see a month later.
Keeping the audit trail
Revoked orders keep every field: who created the link, when, for how much, the customer notes, and your Revoked Notes. The list view Order Type - Link on the Pay Orders tab shows links of every status; add the Revoked and Status columns to see revoked ones at a glance, or build a report on Pay Orders filtered to Revoked = true to review how often links are withdrawn and why.
Mistakes to avoid
| Mistake | What happens | Fix |
|---|---|---|
| Cancelling the review dialog and assuming the link is gone | The link is live until it expires | Revoke it |
| Revoking after the customer paid | "Pay Order is either already revoked or processed." | Refund instead — see Void or refund a payment |
| Revoking the wrong order | The customer's good link dies | Check the order number and the customer before revoking; create a new link if it happens |
| Editing Revoked by hand | Works, but skips the notes | Use Revoke Order so the reason is recorded |
FAQ
No. Only your team can.
No. Tell them yourself if they still have the link.
Edit Link Expiration Date Time on the Pay Order to an earlier time; Has Active Link turns off at that time. Revoking is clearer and immediate.
