Move-In / Move-Out & Recurring Inspections

REDA can create inspections for you — when a tenant moves in, when they move out, and on a repeating schedule. This article shows you how to wire up all three: how to configure a property so a move-in or move-out inspection appears on its own from the lease's tickets, how to set up a recurring inspection series, and — the one thing that trips everyone up — that recurring inspections don't generate at all until an administrator schedules the background job that produces them. No prior REDA experience is assumed.

What "automatic" means here. There are three flavors. Move-in and move-out inspections are created the moment their lease ticket is created — no schedule involved. A recurring inspection, by contrast, produces copies on a timetable, and that timetable runs only if a scheduled job is switched on. Read the recurring section — and its warning — before you rely on a series.
Getting there. Property configuration: open the property record (REDA → the Properties tab → open the property) and set the move-in and move-out inspection fields. Recurring series: REDA → the Inspections tab → create or edit an inspection and fill in its recurring section. Scheduling the job: App Launcher → REDA Admin → the REDA Admin Console tab → Scheduled Jobs.
Access you'll need. Inspections require the REDA - Inspection User or REDA - Inspection Manager permission set. Editing property configuration needs a property edit set such as REDA - Property Management User (or REDA - Master Data - Admin). Scheduling the job is REDA - Master Data - Admin only.

Three flavors of automatic inspection

Before the how-to, here's the map:

FlavorWhen it's createdNeeds a scheduled job?
Move-in inspectionWhen the lease's Move In ticket is createdNo
Move-out inspectionWhen the lease's Move Out ticket is createdNo
Recurring inspectionOn each due date in the seriesYes — see the warning below

Configuring move-in / move-out auto-inspections

Move-in and move-out inspections are driven by settings on the property. There are two pairs of fields, one for each event — a template (which checklist to use) and a schedule (how many days from the move date to schedule the inspection):

Property fieldPairs withEffect when both are set
Move In Inspection TemplateMove In Inspection Schedule (day offset)Creating the lease's Move In ticket auto-creates the inspection, scheduled for the move-in date plus the offset
Move Out Inspection TemplateMove Out Inspection Schedule (day offset)Creating the lease's Move Out ticket auto-creates the inspection, scheduled for the move-out date plus the offset
Both fields in a pair are required — set all four together. An auto-inspection only fires when the property has both the template and the schedule filled for that event. To avoid surprises, configure the move-in template, move-in schedule, move-out template, and move-out schedule together as a set when you set up the property; a property with only part of the configuration may not create the inspection you expect.

What REDA creates, and when

The trigger is ticket creation, not ticket completion. The instant a configured property's Move In (or Move Out) ticket is created, REDA builds the inspection:

AttributeValue
Subject"Move In Inspection <Property>" or "Move Out Inspection <Property>"
StatusScheduled
Scheduled DateThe ticket's move date plus the property's offset in days
ChecklistBuilt immediately from the property's template — no need to apply it by hand
LinksThe ticket, the lease, and the property

Because the checklist is pre-built, inspectors should open these inspections and start working — they should not apply a template to them (doing so would rebuild the checklist; see Running Inspections). And if a lifecycle changes course: cancelling the Move In or Move Out ticket automatically sets its non-cancelled inspections to Cancelled.

Setting up a recurring inspection

A recurring inspection is a source inspection that clones itself on a timetable — a quarterly HVAC check, say. Open or create an inspection, then fill in its recurring section:

Turn on recurrence. Tick Is Recurring.
Choose the frequency. Recurring Frequency is one of DAILY, WEEK, 2 WEEKS, MONTH, 3 MONTHS, 6 MONTHS, or YEAR.
Set the window. Enter a Recurring Start Date and Recurring End Date — the series runs between them.

All three details are required together. Leave one out and REDA responds:

"You must provide Recurring Start Date, Recurring End Date and Recurring Frequency if Inspection is marked as recurring."

And the start date can't be in the past:

"The recurring Start Date must be either today or a future date."

Once you save, REDA works out the next due date from your start date, frequency, and how many copies have already been made.

What each generated copy looks like

On a due day (when the job is running — see the warning below), REDA clones the source inspection into a fresh one:

AttributeValue
ChecklistA full copy of the source inspection's items
System GeneratedChecked — so you can filter list views to the automatic copies
Parent InspectionPoints back to the source inspection
Scheduled DateThe day it was generated

Each copy also nudges the source's count of generated instances forward, which is how REDA works out the next due date.

The scheduler requirement

This is the part to get right before you set up any series:

Recurring inspections do not generate until an administrator schedules the job. REDA does not turn the recurring-inspection job on for you — scheduling it is a required setup step, not an optional one. Until it's scheduled, you can create recurring inspections and REDA will accept them, but no copies will ever appear. An administrator schedules it once in the REDA Admin Console under Scheduled Jobs (the suggested cadence is daily, at 5:00 AM in the scheduling administrator's time zone). Confirm the job is running before you rely on a series to produce inspections.

Once scheduled, the job runs each day and produces copies for the recurring inspections that are due that day. For the full list of background jobs and a go-live checklist, see Scheduling Background Jobs.

Worked example: a quarterly HVAC series

Meridian Properties wants an HVAC inspection every quarter at Meridian Court. First the setup, then the copies (assuming the job is scheduled):

SetupResult
Create "Quarterly HVAC Inspection - Meridian Court"; tick Is Recurring; Frequency 3 MONTHS; Start 1 Aug 2026; End 31 Jul 2027REDA computes the next due date and waits for the job
With the job running, each due day arrivesCopies appear on 1 Aug 2026, 1 Nov 2026, 1 Feb 2027, and 1 May 2027 — each a full checklist clone marked System Generated

For move-in and move-out: configure Meridian Court #101 with a "Standard Unit Move-In" template and a "Standard Unit Move-Out" template, each with its schedule offset. When the unit's Move Out ticket is created with a move-out date of 31 Aug 2026 and a two-day offset, REDA creates "Move Out Inspection Meridian Court #101," scheduled for 2 Sep 2026.

Where to go next

  1. Scheduling Background Jobs — required setup: schedule the recurring-inspection job before you rely on a series.
  2. Running Inspections — work the inspections REDA creates for you.
  3. Building Your Inspection Catalog — the templates the automation applies.
  4. Understanding Tickets — the Move In and Move Out tickets that trigger inspections.

Frequently asked questions

The background job that produces them isn't scheduled — it does not run out of the box. Ask your administrator to schedule it in the REDA Admin Console (Scheduled Jobs; suggested daily, 5:00 AM).

The property must have both the move-in template and the move-in schedule offset filled before the Move In ticket is created. Set all four inspection fields together.

All three recurring details are required: "You must provide Recurring Start Date, Recurring End Date and Recurring Frequency if Inspection is marked as recurring."

The series can't start in the past: "The recurring Start Date must be either today or a future date." Use today or a future date.

Cancelling the Move Out (or Move In) ticket automatically sets its non-cancelled inspections to Cancelled.
