Closing a Sale (Closed Won)
Marking a sale Closed Won is the moment REDA hands the property to the buyer. In one stage change, ownership transfers, a permanent ownership trail is written, and the deal is flagged to calculate commissions — and from then on the closed sale is protected against being quietly reopened. This article explains exactly what closing does, why the ownership start date might not be the date you expect, and how to reopen a closed sale the right way if you ever must. No prior REDA experience is assumed.
Access you'll need. Closing a sale requires the REDA - Property Sales User permission set (edit on the deal). The commission records the close produces are viewed on the Commissions tab — the Commission read-only set can view them, and the Commission Manager and Commission User sets can create and edit. Reverting a property's ownership, if you must reopen, touches the property record, which the operational sets can edit.
What closing a sale does
Reaching Closed Won sets four things in motion at once:
Before you close
A sale can only reach Closed Won once its essentials are in place — these are the same gates the sale carries from the Under Contract stage onward (see The Sale Stages Reference):
- An Account — the buyer. Without it: "Account is required to update an opportunity."
- A Sale / Purchase Price: "You must provide the value of Sale / Purchase Price prior updating the stage."
- An Under Contract Date: "You must provide the value of Under Contract Date prior updating the stage."
Ownership transfer
On Closed Won, REDA sets the property's Owner Account to the deal's buyer Account, and sets the property's Ownership Start Date to the deal's Under Contract Date.
The ownership trail
The transfer is recorded in the property's Ownership Trail — the running history of who has owned the property and when. On close, REDA:
- Closes the previous owner's trail entry, setting its Ownership End Date to the new start date minus one day.
- Opens a fresh trail entry for the buyer, with the buyer as Owner Account and the Ownership Start Date set to the deal's Under Contract Date.
Ending the outgoing owner a day before the buyer's start keeps ownership continuous, with no gap and no overlap. The trail also protects its own integrity — an end date can never precede a start date: "Ownership End Date cannot be earlier than Ownership Start Date."
Commissions
On Closed Won, if the deal has a Commission Rule and a Calculated Commission Base Amount present, REDA flags the deal for commission calculation and builds the commission records. The engine behind that — the rule items, recipients, splits, and the payout formula — is covered in Sale Commissions and the Billing section, so we don't repeat it here.
One consequence is worth flagging now: if you later move the deal out of won, those commission records are deleted.
Reopening a closed sale
Once a sale is Closed Won and ownership has transferred, REDA blocks any attempt to move the deal back down the stages:
This guard is what stops a closed sale — and a transferred property — from silently unwinding. It fires while the property is still in its transferred state, with the buyer as owner. To reopen legitimately, an authorized user first reverses the ownership change on the property; once ownership is reverted, the deal's stage is free to move again.
Two rules on the property itself keep any ownership edit consistent while you do this. You can't clear the Ownership Start Date off a property that has an owner — "Please provide the Ownership Start Date." — and you can't set an Ownership Start Date without naming the owner it belongs to: "The Owner Account must be provided if the Ownership Start Date is specified." Put the two back together as a pair.
Worked example: closing Harbour Villa 7
Meridian closes the Harbour Villa 7 sale to David Okafor on 15 Aug. The deal's Under Contract Date is 1 Jul and the Sale / Purchase Price is 1,000,000.00. On Closed Won:
| What REDA does | Result |
|---|---|
| Transfers ownership | The property's Owner Account becomes David Okafor's account |
| Sets the ownership start | The property's Ownership Start Date = 1 Jul (the Under Contract Date — not 15 Aug) |
| Closes the outgoing trail | Continental Holdings' trail entry is closed with End Date 30 Jun (1 Jul minus one day) |
| Opens the new trail | A new open trail for David Okafor begins 1 Jul |
| Flags commissions | The deal (carrying the default sale commission rule) is flagged and its commission records are built |
| Arms the reopen guard | Any later attempt to reopen without reverting ownership is blocked |
Closed Won, with Property = Harbour Villa 7, Sale / Purchase Price 1,000,000.00, and Primary Contact David Okafor. (This deal page shows the Stage field in its header, not a Path ribbon.)
Reference: what Closed Won does
| # | What happens at Closed Won |
|---|---|
| 1 | Property Owner Account ← the deal's buyer Account |
| 2 | Property Ownership Start Date ← the deal's Under Contract Date (not the close date) |
| 3 | The previous owner's ownership trail is closed (End Date = the new start date − 1 day) |
| 4 | A new open ownership trail entry is created for the buyer |
| 5 | The deal is flagged for commission calculation (if a rule and calculated base are present) → commission records built |
| 6 | The reopen guard is active — the deal can't move back until the property ownership is reverted |

Frequently asked questions
Its Owner Account becomes the buyer, and its Ownership Start Date is set to the deal's Under Contract Date. A new ownership-trail entry opens for the buyer, and the previous owner's trail is closed.
By design. REDA uses the deal's Under Contract Date as the ownership start, so the property is treated as owned from the day it went under contract — not the day you closed. It's expected behavior, not an error.
Because ownership already transferred: "The property ownership was updated when this opportunity was marked as "Closed Won." Please revert the property ownership changes on the associated property before updating the opportunity stage." Revert the property's ownership first, then the stage can move.
Moving the deal out of won deletes its commission records; recalculating later rebuilds them from scratch. See Sale Commissions.
Yes. The outgoing owner's End Date is the new start date minus one day, so ownership is continuous with no overlap.
