Subscribing to & Scheduling Reports

If you open the same report every morning, stop — subscribe to it and let REDA email it to you on a schedule instead. Subscribing is standard Salesforce, so this guide keeps the mechanics short and points you to the official documentation for the dialog. What it spends its time on is a distinction that generates real support tickets: a report subscription just delivers a report, while a REDA scheduled job actually processes your business data — bills rent, tops up calendar slots. They are unrelated, and confusing the two sends people looking in the wrong place when something doesn't run. This article is about subscriptions; it makes the fork to scheduled jobs explicit so you always know which one you're dealing with.

Getting there. Open the App Launcher (the grid icon at the top-left of any page) → REDA → the Reports tab → open a report → Subscribe (top-right). Dashboards subscribe the same way from the Dashboards tab.
Access you'll need. Subscribing is granted by your administrator, separately from your REDA permission sets — no REDA set includes report access. Scheduled emails also depend on your org's email deliverability settings, which your administrator configures.

Two different "schedules" in REDA

Two things in REDA run "on a schedule," and they do completely different jobs:

Report subscriptionREDA scheduled job
What it doesRe-runs a report and emails the resultProcesses business data — bills rent, posts payment schedules, tops up booking slots
Changes your data?No — delivery onlyYes — it creates and updates records
Where it's set upOn the report, via SubscribeREDA Admin Console → Scheduled Jobs (administrators only)
Who sets itAnyone with report accessAn administrator

This article is about the left column. Keep the right column in mind, because the two get confused constantly — the rest of the page returns to that fork.

Subscribe to a report

To have a report delivered automatically:

Open the report from the Reports tab.
Click Subscribe (top-right).
Set the schedule. Choose the frequency (daily, weekly, or monthly), the time, and the recipients. You can add optional conditions so it only sends when a value crosses a threshold.
Save. The report now re-runs and emails on that schedule.
Subscriptions are standard Salesforce. For the subscription dialog, conditional subscriptions, and recipient limits, see the official Salesforce documentation: Subscribe to Reports (Salesforce Help).

Subscribe to a dashboard

Dashboards work the same way. From the Dashboards tab, open the dashboard and click Subscribe; the subscription refreshes the dashboard and emails a snapshot on the schedule you set. See REDA Dashboards for the dashboards you might subscribe to.

Worked example: Monday's move-outs

Meridian's leasing coordinator wants the week's move-outs in their inbox every Monday morning: open the packaged Move Out Tickets - Current FQ report (a REDA leasing report — see Prebuilt REDA Reports), click Subscribe, set Weekly / Monday / 07:00, add the leasing team as recipients, and save. Every Monday the report arrives already run.

Now the contrast that matters: when Meridian's controller says "rent didn't post to the ledgers last night," that is not a subscription. That's the payment-schedule posting job, and it's configured in the REDA Admin Console — see the next section.

"But my invoices aren't running" — that's a job, not a subscription

A report subscription never processes business data. If rent didn't bill, invoices didn't generate, or booking slots didn't appear, that's a REDA scheduled job, not a report — and it lives somewhere else entirely: the REDA Admin Console → Scheduled Jobs, which only an administrator with the REDA - Master Data - Admin permission set can reach.

Worth knowing: only two REDA jobs run automatically in a fresh reference org — a nightly payment-schedule posting job and a calendar-slot exception top-up job. Every other REDA batch process — recurring billing, late fees, inspections, occupancy snapshots — must be scheduled per org from the Admin Console's job catalog before it will run. So "my invoices didn't generate" is almost always a job that was never scheduled, not a subscription that failed.

Use the right fork. "My report didn't email" is a subscription issue — check the subscription and email deliverability. "My rent didn't post / invoices didn't generate" is a scheduled-job issue — send it to your administrator and the Scheduling Background Jobs article. Getting this wrong is the single most common wasted support ticket in this area.

Where to go next

  1. Prebuilt REDA Reports — the packaged reports you'll subscribe to.
  2. REDA Dashboards — subscribe to a dashboard snapshot.
  3. Scheduling Background Jobs — the other schedule: REDA's data-processing jobs (administrators only).
  4. Building Your Own Reports — build a report before you subscribe to it.

Frequently asked questions

Open the report and click Subscribe, then set the frequency, time, and recipients. It's a standard Salesforce subscription — see the linked Salesforce Help for the dialog.

No. Those are REDA scheduled jobs, not report subscriptions. A subscription only emails a report; it never processes your data. Ask your administrator to check the REDA Admin Console → Scheduled Jobs (see the Scheduling Background Jobs article).

Report emails depend on your org's email deliverability settings and your report access — both are configured by your administrator.

Yes — from the Dashboards tab, open the dashboard and click Subscribe to schedule a refresh and a snapshot email.

Anyone your administrator has granted report and dashboard access. Subscribing is not part of the REDA permission sets.
